Final Author Instructions

The safety and well-being of all conference participants is our top priority. Please know that our thoughts are with all those affected by the COVID-19 outbreak. We apologize for any inconvenience the cancellation of the onsite program may have caused our participants. The RASSE 2021 Organizing Committee has decided to offer an online platform for accepted authors to upload recorded presentations. In order to be eligible, the following steps should already be completed:

  1. Electronic Copyright via EDAS.
  2. Final Manuscript submitted via EDAS by November 12.
  3. Paid all necessary registration/publication fees.

To generate the IEEE Xplore compatible PDF file of your paper, follow these steps:

  1. Create your IEEE PDF eXpress account: https://ieee-pdf-express.org/
  2. Conference ID: 53195X
  3. The first time you access the system, please follow the link to new user. Please note that in order to access the service, you need to allow the use of cookies from the PDF eXpress web site. Once you have registered as a new user:
  4. Upload the source file (containing your paper) for conversion.
  5. Receive by e-mail the IEEE Xplore-compatible PDF of your paper.

In order to be published in the RASSE 2021 Proceedings, and in IEEE Xplore, you must complete the three steps above as well as submit your 15-minute pre-recorded presentation by November 12, 2021.

Each paper must be covered by either a full Member or Non-Member registration ($375 or $325). Each registration will only cover up to one publication. Each additional paper will require a $100 additional paper fee.

**EI Compendex is a third party Library. Files are sent to other Libraries for indexing after they are uploaded to Xplore. It might take several months for files to be uploaded and it is up to the discretion of these Libraries to decide if content is appropriate for their use.”

PRESENTATION PREPARATION:

In view of the COVID-19 pandemic, RASSE 2021 has been moved to a fully virtual conference. We have opted for a format where each contributed presentation will take the form of a pre-recorded video, available on-demand during the original dates of the conference and after the conference concludes. There will be NO LIVE SESSION required for you to attend.

We request you to prepare and upload a video of your presentation, comprised of a brief introduction with webcam, if desired, followed by voice over slides for your presentation. This will be posted on the RASSE 2021 on-demand virtual platform. Please note that the file must be a video file in MP4 format (more details below). Please do not try to upload PowerPoint or PDF files.

Our recommended approach to record a compatible video from content displayed on your computer screen and voice recorded via the computer microphone, is to record the presentation using Zoom, available to users on most platforms and in most countries:

Instructions for recording your presentation with Zoom:

For Authors located in China who are unable to access Zoom for free, use of the free software OBS, which allows also to capture simultaneously yourself while speaking and your slides:

In order for videos to be verified by the technical program committee, there is considerable urgency in preparing and uploading your video. Accordingly, we ask you that you please finalize your video no later than November 12. This is a HARD DEADLINE. Presentations will not be accepted after this date.

Guidelines for preparing your video:

  • Duration: 15 minutes
  • File size: 500MB max
  • Video file format: mp4
  • Dimensions: Minimum height 720 pixels, aspect ratio: 16:9

Please note the final specifications will be checked at the time of submission and files not compliant may not be uploaded.

Please be sure the video includes the title of the paper, the authors, and a mention to IEEE RASSE 2021.

PRESENTATION UPLOAD:

** Individual Links to upload your videos were dispersed to all authors via email on October 27. Please check your inbox and spam folder to assure you have received them. If you suspect the email could have been blocked, please reach out to Claire Folkerts ([email protected]) to resend the upload link.

The Online Conference will be available to paid attendees starting December 12. More information on how to access will be forthcoming. Please note this is a fully On-Demand conference so there are no live sessions. Again, we apologize for any inconvenience this has or may cause. For questions or concerns, please contact Claire Folkerts, [email protected]. We appreciate your patience and look forward to bringing you the highest-quality content for RASSE 2021.
